Santa Ana Chooses ThirdWave, again, for Public Works Agency Digital Records Management Assessment & Roadmap

When the City of Santa Ana sought to find a subject matter expert to conduct an unbiased, objective assessment of the Public Works Agency's current records management business practices and challenges they sought a firm with unmatched experience and expertise. They did not have to look far; the City chose ThirdWave, a firm the City had retained to develop the City’s technology strategy and roadmap in 2014
“ThirdWave will conduct a comprehensive Digital Records Management Needs Assessment and develop a detailed Implementation Plan” noted Sergio Hernandez, ThirdWave Executive VP. As pioneers with Enterprise Content Management Systems (ECMS), the City will leverage ThirdWave’s 29 years of experience and numerous local, national and international awards for other ECMS government projects.
The engagement will address ECMS challenges currently faced by several Public Works divisions. Although the City has an ECMS (Laserfiche, Long Beach CA) the agency is seeking to resolve a number of common challenges, e.g., documents stored in decentralized locations; divisions who have opted to develop and maintain their own records physically in file cabinets, and/or store documents on network folders throughout the Agency. ThirdWave will lend its best practices to address the lack of established protocols, difficulties in searching and retrieving existing documents and mitigate decreased operational effectiveness.
The project will carry out an agency wide needs assessment, evaluating existing systems, resources, equipment, and develop recommended workflows. An ECMS system design will provide recommendations for appropriate hardware, software, staff skills and a governance structures to support identified workflows. The Roadmap will identify projects required to execute the proposed strategy, budget costs and timelines necessary for the Agency to achieve the goals of efficient and effective digital records management program.
